With their last year's turnover being in excess of Rs 170 million Rahul Cables Pvt. Ltd. stand as one of the well respected and well-known name in the electrical components and accessories industry. It is the leading supplier of all types of electrical wires and cables and is also an authorized distributor for companies like Cable Corporation of India Ltd., Polycab wires Ltd., Fort gloster industries Ltd. and Finolex cables Ltd. Rahul cables also have the honor of being the largest stock keepers for organizations like INCAB, UNIVERSAL, TORRENT, ASIAN, NICCO etc.
The Challenges
Despite of using multiple softwares there had been longstanding problems in the day to day functioning of various processes. Some of the major problems faced by Rahul cables before the implementation of TRADEANNEX® were:-
- The software that was being used was DOS based and therefore did not have a Graphic User Interface or GUI due to which working on it was not as easy.
- The Security was not upto the standards.
- Log files which are an important part of day to day functioning specially of such a big organization were not being made available by the software
- Stock maintenance was a problem. This problem proving to be a major hurdle for the organization as they are stock keepers, suppliers and authorized dealers.
- There was little or no flexibility provided by the software that was being used for day to day activities.
- Excise processing was proving to be a problem time and again since the software that was used for it was not updated on the same and therefore it resulted in multiple errors.
- Even though it was a necessity for the organization that multiple users work using the software at the same time, the software did not provide this feature and thus only a limited number of people were able to use it. Which lead to incompatibility in between various processes this resulted an increase in man hours per task which affected the overall functioning of the organization.
- Another problem with the software was that it did not provide instant view of freshly modified data which lead to errors in day to day operations.
- As the organization was operational in multiple locations, it needed to connect its branch offices but the software that was being used did not provide this facility. This had become a really critical problem for the organization as a lot of cross-communication was there which was creating a lot of problems both in terms of coordination and efficiency of the work force.
- The software that was being used did not provide any way of communicating with the client electronically (e-mails etc), so postal mails and hence additional expenditures needed to be incurred at the time of communication with the client.
- Delivery challans had to be drafted out manually which proved to be quiet cumbersome and also resulted in significant amount of errors caused due to manual work.
- The sales tax forms were not as per specifications which always resulted severe workload at the year end
The Result
On the implementation of TRADEANNEX® following results were achieved by the organization:-
- With TRADEANNEX® the company realized that it needed to use only one software instead of many due to the dynamic nature of TRADEANNEX® in catering to the different needs of their business.
- Post implementation management level errors were totally avoided and better communication was established between various departments of the organization.
- Data entries were reduced.
- Multiple terminals could work simultaneously and get refreshed data everytime.
- Sales tax forms were perfectly aligned as per requirements and thus the year end work load was avoided.
- There was lesser burden on the accounting department as they did not have to deal with invoicing and it's alignment with the sale tax forms.
- Unnecessary communication between various departments was avoided.
- Before the implementation of the TRADEANNEX® the departmental structure of the organization was complex but post its implementation the departmental structure became much simpler and effective.
- Stock maintenance was much better as TRADEANNEX® provided the organization with the facility of drafting out delivery challans which avoided errors caused due to manual work.
- Logs were now available to the firm which helped it in tracking its day to day activities.
- An up to date system was provided by TRADEANNEX® for excise processing therefore the year end work load was avoided and automatic reports were generated without the interference of the purchase or the sales department.
- The security of the data was well provided for as TRADEANNEX® encompasses within its scope multiple level of access of data.
